Step 9: Advise unsuccessful candidates

Ensure that unsuccessful applicants are properly advised. This is usually best done by letter simply stating that their application has been unsuccessful because the Company has found a more suitable applicant. You are not required to go into detail as to why the unsuccessful applicant was not selected. The letter should thank them for their application and wish them success with their career.

Telephone or email notification is best avoided because these methods encourage a two-way exchange which can lead to some unsuccessful candidates engaging in debate on the merits of their application.

It is recommended that all application forms for unsuccessful candidates be destroyed.
